This guide introduces key features of the PolyU Research Data Repository.

Restricted Sharing


The repository provides options for restricted sharing if you prefer to limit data access. To share datasets with certain repository users and external parties, create a private URL. To share specific files with selected repository users, establish restricted access.

You can generate a private URL to share your data with those without an account. This can be useful if you need to share your data with peer-reviewers. A Private URL can only be generated if your dataset has NOT yet been published, or contains any unpublished changes.

  1. Login and go to your dataset page. To locate the page of your dataset, follow steps here.
     
  2. On your dataset page, select Edit Dataset > Private URL.

     
  3. Select Create Private URL to generate an URL.

     
  4. A private URL will be generated for sharing. You can also come back to this option to disable the private URL anytime.

When a file is restricted, no user can download the files directly and only repository users can submit a request. You can also specify which repository user can access the file beforehand. To set up a file access restriction, follow the steps below:

  1. Login and go to your dataset page. To locate the page of your dataset, follow steps here.
     
  2. Select the file(s) that you would like to restrict access > Edit Files > Restrict.

     
  3. Tick Enable access request and (optional) input the Terms for Access for Restricted Files, then click Save Changes.


    After setting up, other users can no longer download the restricted file directly. When a repository user click Request Access, you will receive an email notification with a link that allows you to grant the access to that user.
